Repstor Unveils New Campaign to help Law Firms Exploit Microsoft 365 for Matter Management at ILTACON 2017

Repstor will present alongside other key Northern Irish legal technology innovators on the Invest Northern Ireland pavilion at ILTACON 2017

August 3rd, 2017 – Repstor, the ECM adoption company that helps businesses exploit their SharePoint and Microsoft 365 investments, has selected the 2017 ILTACON event in Las Vegas to launch its newest campaign for law firms centering on ‘7 Indisputable reasons to use Microsoft 365 as a matter management platform’.

This most recent campaign adds further momentum to ES /Unity™, a new matter management solution created by Eversheds Sutherland Consulting in collaboration with Repstor and launched in March this year. The new digital offering, built exclusively for the Microsoft 365/SharePoint platform and offering native integration into Microsoft Outlook, empowers legal teams with sophisticated legal matter management.

Repstor will launch its Microsoft 365 for Matter Management campaign at ILTACON which runs August 13 through 17 using law firms like Eversheds and gunnercooke as successful proof points and case studies.

ILTACON is the premier educational and networking event for the legal sector. Drawing on the personal and collective strengths of professionals working in technology within law firms and legal departments, ILTACON empowers its visitors and exhibitors to share what works, what doesn’t and what’s next.

Repstor will join other Northern Irish legal technology innovators at ILTACON to showcase their solutions on booth numbers 522 and 524.

CTO of Repstor Fergus Wilson added:

“Microsoft 365 is so integral to everyday business activity, including routine content management and collaboration, that it is the obvious platform for legal matter management.

“Microsoft 365 is an existing resource most firms have already invested in, and many of its capabilities are inherently superior to those of dedicated matter management systems. This is largely due to the huge investment Microsoft has made in Microsoft 365, added to the vast ecosystem of Microsoft software partners which are enhancing Microsoft 365 all the time with new, specialist features and integration options.”

Fergus continues, “Our latest campaign will help firms to make the case for selecting Microsoft 365 for complete matter lifecycle management – a move that law firms ranging from large international practices like Eversheds Sutherland to challenger firms like gunnercooke have already made.”

Repstor and Eversheds Sutherland Coverage in Credit Control Journal

Eversheds Sutherlands head of consulting, Graham Richardson has written a very informative piece for key industry publication Credit Control Journal in which he discusses how in-house legal teams are caught in an ever growing digital divide.

Graham says that in-house legal teams are increasingly being seen as key strategic advisers to business, but they are unable to optimise productivity and efficiency due to a lack of technological tools, which is leaving them straddling an ever widening digital divide, according to the Looking Glass report.

This digital divide, he explains is hobbling in-house legal teams. This has prompted international law firm Eversheds Sutherland to make use of its own digital transformation (DX) journey to assist legal professionals.

gunnercooke Boosts Cloud-Based Matter Management with Repstor

Almost 200 partners & support staff will use Repstor solutions to manage content from Outlook

March 3rd , 2017 – gunnercooke llp, one of the UK’s fastest-growing challenger law firms, has rolled out Repstor’s email and content management suite to almost 200 fee earners and support personnel across its nationwide legal practice, to extend the benefits of Office 365 and make it easier to share and access content from within Outlook.

gunnercooke provides corporate and commercial legal services to businesses, banks and investors. The firm has expanded rapidly from inception, growing from 10 to 125 partners over the last five years, with the business projected to double in size across 2017. The firm operates nationally from offices in London and Manchester which support hot-desking, though partners are enabled to work remotely, from client offices or from home. It is a committed user of the cloud – in particular Office 365 – to encourage easy collaboration between team members and clients.
As the natural next step, gunnercooke wanted to make it easier for colleagues to securely manage and share email correspondence relating to client matters, to ensure everyone had access to the latest updates and that accurate records were being kept.

Repstor specialises in providing intuitive access to Office 365, SharePoint and other content systems, natively from within Microsoft Outlook. gunnercooke came across the company at last year’s British Legal Technology Forum in London.

“It was the holy grail,” says James Williams, gunnercooke’s systems manager. “We’ve been very happy with Office 365 and are using SharePoint Online, but off the shelf SharePoint isn’t great with emails,” he explains. “You can end up with division between SharePoint documents and those being circulated via email.”

Initially, gunnercooke has deployed Repstor’s affinity™, assist™ and drive™ solutions, which together will allow users to easily and intuitively manage all of their content sources from within their familiar, existing Outlook environment. “It was all configured very quickly, and will be used by all partners, the administration team and our legal counsel [other lawyers who work on a project by project basis for gunnercooke partners],” James says. In total over 190 people will use Repstor’s software.

In due course gunnercooke may also implement Repstor custodian for legal™, which provides more advanced matter management from within Outlook, he adds – through the ability to apply structure, metadata, workflow processes and policy to document or ‘matter’ types.

Although there are other ‘email-friendly’ document management systems on the market, these are typically expensive and require disruptive migration, James notes.

“With Repstor’s products, we could do what we needed to very affordably and without any changes to the set-up we already had. It’s all very easy and seamless to use, and that’s very important because if a system is hard to use people will avoid it or find their own ways of doing things, resulting in compliance issues.”

gunnercooke has just gone live with the Repstor products, and expects these to make life much easier for fee earners. “Our job in IT systems is to provide the best possible back-office experience and service to our partners for the budget allocated. Repstor’s content management tools will make a big difference, and support our continued rapid growth plans,” James says.
As well as getting ‘great value for money’, gunnercooke has found working with Repstor a very positive experience, he adds. “They’re a really nice company – everyone’s very friendly, they’re extremely responsive and they’ve been very flexible on timings. It’s been a pleasure.”

Repstor is exhibiting at the British Legal Technology Forum on March 14th at Old Billingsgate, London. Visit us on stand A2, next to the wine bar on the ground floor.

Repstor encourages a Microsoft approach to Matter Management at the British Legal Technology Forum 2016

Repstor is exhibiting at the ‘British Legal Technology Forum 2016’ at the Old Billingsgate, London on Tuesday, 8th March 2016…

London, 7 March 2016

Repstor, ECM adoption and Matter Management specialist, is proud to announce it is exhibiting at the ‘British Legal Technology Forum 2016’ at the Old Billingsgate, London on Tuesday, 8th March 2016.

With over 1,200 visitors from the world of law and legal technology expected to attend the 2016 event, The British Legal Technology Forum will bring together the most respected professionals from both the legal and commercial technology sectors to examine and explore the systems, strategies, processes and platforms that will drive law firms and legal businesses into the next decade and beyond.

Repstor will be showcasing its “custodian for legal” product which enables firms to maximize their Microsoft investment to provide Legal Matter Management.

Legal professionals will confirm that email is still their primary communication tool and that they need an intuitive solution to manage emails as part of a matter.  custodian is this solution – it enables users to manage matter related emails and documents together, avoiding the issue of isolated email content and applying consistent structures for managing matter based content. By utilizing the powerful and familiar interface of Microsoft® Outlook® custodian ensures the highest level of user-adoption and minimizes the need for migrating complex and costly legacy systems.

Repstor custodian extends Office 365TM/SharePoint®, to deliver a complete matter management solution by providing matter-centric collaboration, document and email management capabilities directly within Office 365/SharePoint. Most importantly, this capability is provided seamlessly within Outlook. Users can also work on or offline and access content from multiple different sources in addition to the matter management system.

custodian also allows firms to ensure that they maximize investments in Microsoft technologies, and can take advantage of the broader Microsoft platform including analytics, compliance, Data Loss Prevention (DLP) and so on.

Alan McMillen from Repstor will be speaking on the demonstration stage at 10:25. Alan will discuss how to achieve high performance remote access to your DMS (Document Management System) and use your Microsoft investment to deliver enhanced Matter Management.

If you are attending the ‘British Legal Technology Forum 2016’, come and see Repstor at stand #A4.

About Repstor

Repstor was created to inspire ECM Adoption. We are dedicated to developing products that enable collaboration and compliance for the Outlook-centric workforce.  Repstor’s products make access to content systems easy and intuitive for users, by providing access to them within the familiar interface of Microsoft® Outlook®.   By making access to the content system easy and intuitive for users, we overcome the main cause of failed deployments of ECM systems – failure of users to adopt the system.

Our products are ideal for mobile, remote and semi-disconnected users especially in industries like Professional Services, Legal, Oil and Gas, Public Sector and other regulated industries.  We significantly reduce change management costs when rolling out systems, improve ROI for existing systems, and fully support Microsoft Office 365.

Natural Resources Wales – A Repstor Success Story

Natural Resources Wales benefits from easy filing, better collaboration and compliance in Microsoft Office 365 with Repstor affinity.

Natural Resources Wales (NRW) is the largest Welsh Government Sponsored Body – employing 1,900 staff across Wales with a budget of £180 million. It was formed in April 2013, largely taking over the functions of the Countryside Council for Wales, Forestry Commission Wales and the Environment Agency in Wales, as well as certain Welsh Government functions.

As a new organisation one of the first tasks that faced Natural Resources Wales was to unite the various government agencies and functions which now formed part of their organisation. Bringing together 1900 staff from a number of different government agencies and functions across a range of locations and with many different policies, existing EDRM Systems and File Shares posed a challenge. It was important to NRW that its business solutions would meet regulatory and compliance requirements for records keeping and encourage collaboration and joined up working across the new organisation.

Challenge

The Management of email as part of formal records management
User Adoption
Seamless integration with Office 365 deployment
Filing & Retrieval

Solution

NRW produced a set of requirements for an email solution and followed the G-Cloud procurement process. NRW selected to deploy Repstor across the organization.
The installation was completely standard, users were able to connect to the appropriate content on the Office 365 system and start working immediately.

Results

User Adoption: all users can quickly and easily find, and file content through the familiar Outlook client without any need for training on new UI’s.
Compliance: users can now more easily comply with NRW records policies.
Increased Productivity: users now file email content as it is generated and individual users have extremely fast access to their content wherever they work, on or offline.
Accuracy of Information: Users now have confidence that all of the latest and relevant information is available to them as early as possible
Easy filing: filing time has been significantly reduced

“Repstor affinity is a key part of our Office 365 deployment. Its quick deployment and ease of use has meant that users have adopted the system without the need for any special training enabling us to seamlessly bring users on board, focusing on ensuring that our policies are effectively implemented.
The ease of use particularly around filing and retrieval has been an essential part of rolling out this project without the need for a large change management effort on our part around the use of the software,” Debra Jones, Project Manager, NRW.
