gunnercooke Boosts Cloud-Based Matter Management with Repstor

Almost 200 partners & support staff will use Repstor solutions to manage content from Outlook

March 3rd , 2017 – gunnercooke llp, one of the UK’s fastest-growing challenger law firms, has rolled out Repstor’s email and content management suite to almost 200 fee earners and support personnel across its nationwide legal practice, to extend the benefits of Office 365 and make it easier to share and access content from within Outlook.

gunnercooke provides corporate and commercial legal services to businesses, banks and investors. The firm has expanded rapidly from inception, growing from 10 to 125 partners over the last five years, with the business projected to double in size across 2017. The firm operates nationally from offices in London and Manchester which support hot-desking, though partners are enabled to work remotely, from client offices or from home. It is a committed user of the cloud – in particular Office 365 – to encourage easy collaboration between team members and clients.
As the natural next step, gunnercooke wanted to make it easier for colleagues to securely manage and share email correspondence relating to client matters, to ensure everyone had access to the latest updates and that accurate records were being kept.

Repstor specialises in providing intuitive access to Office 365, SharePoint and other content systems, natively from within Microsoft Outlook. gunnercooke came across the company at last year’s British Legal Technology Forum in London.

“It was the holy grail,” says James Williams, gunnercooke’s systems manager. “We’ve been very happy with Office 365 and are using SharePoint Online, but off the shelf SharePoint isn’t great with emails,” he explains. “You can end up with division between SharePoint documents and those being circulated via email.”

Initially, gunnercooke has deployed Repstor’s affinity™, assist™ and drive™ solutions, which together will allow users to easily and intuitively manage all of their content sources from within their familiar, existing Outlook environment. “It was all configured very quickly, and will be used by all partners, the administration team and our legal counsel [other lawyers who work on a project by project basis for gunnercooke partners],” James says. In total over 190 people will use Repstor’s software.

In due course gunnercooke may also implement Repstor custodian for legal™, which provides more advanced matter management from within Outlook, he adds – through the ability to apply structure, metadata, workflow processes and policy to document or ‘matter’ types.

Although there are other ‘email-friendly’ document management systems on the market, these are typically expensive and require disruptive migration, James notes.

“With Repstor’s products, we could do what we needed to very affordably and without any changes to the set-up we already had. It’s all very easy and seamless to use, and that’s very important because if a system is hard to use people will avoid it or find their own ways of doing things, resulting in compliance issues.”

gunnercooke has just gone live with the Repstor products, and expects these to make life much easier for fee earners. “Our job in IT systems is to provide the best possible back-office experience and service to our partners for the budget allocated. Repstor’s content management tools will make a big difference, and support our continued rapid growth plans,” James says.

Repstor products are perfect for users who spend a lot of time in Microsoft® Outlook® and want to manage all of their content from there, as its seamless integration with Outlook means the products are simple and easy to use, creating happy users.

Using Repstor affinity and assist enables users to file emails and documents accurately into their chosen repository directly from Outlook – without asking them to learn anything new. Repstor products plug straight into Outlook and leverage all the features of SharePoint or other ECM system, but in an on-screen environment familiar to users. They don’t slow down Outlook’s performance and because they are easy to use, people use them.

Advanced Filing

With release 3.3 Repstor has taken filing to a new level. With Jump to folder and Quick File finding and filing information has always been easy.  However, now you have even more options by allowing you to search for a parent level folder and then browse its child folders in the search window.

The Quick File and Jump to Folder dialogs now support expanding any folders from search results, recent locations or Repstor assist suggested locations. This allows users to locate a folder and then drill down to lower levels to identify the correct folder to use.

Document Template Creation

Repstor assist now gives users the ability to create Placeholders. Placeholders provide basic document generation for documents created within Repstor affinity.  They help users to create documents consistently and use the properties associated with individual users, departments, clients, projects etc. by creating a template that can then be inserted into Word documents and/or updated in bulk with their current values. Repstor assist now provides the ability to sync SharePoint lists of individual user placeholders.

Comparison Everywhere – further extending Repstor and Microsoft Office 365 Integration

Repstor affinity and assist provide enhanced email and content management by providing deep integration with Office 365 and the Microsoft Word, Excel and PowerPoint products. In addition to the ability to compare the contents of two affinity documents in Word and convert documents accessed from affinity to Adobe PDF directly from Microsoft Word, users can now also compare Word documents with their previous SharePoint versions within affinity. When filing Word documents to a Repstor folder affinity will now notify users if there’s a matching file and provide an option to compare the documents.  Customers can also integrate this with more advanced comparison applications if required.

Improved Repository Support

Repstor affinity 3.3 adds to the already extensive multiple repository support provided by extending the existing support for HPE Content Manager, formerly Records Manager to include:

  • Full support for the new HPE Content Manager service API
  • Search and add classifications as a set of folders in affinity
  • Prompt for the Record Type when adding folders

Leading ECM Adoption specialist, Repstor, today announced that Natural Resources Wales, has deployed Repstor affinity, to enable users across their widely dispersed Office 365 deployment to meet regulatory needs for records management and compliance.

Natural Resources Wales (NRW) is the largest Welsh Government Sponsored Body – employing 1,900 staff across Wales with a budget of £180 million. It was formed in April 2013, largely taking over the functions of the Countryside Council for Wales, Forestry Commission Wales and the Environment Agency in Wales, as well as certain Welsh Government functions.

One of the key commitments for NRW, and in keeping with Central Government strategies, was to deliver secure, accessible, effective, easy to use, online services to its customers.  Where possible, and appropriate, NRW has committed to using cloud services, existing solutions and shared services. Office 365TM is at the heart of NRW’s strategy and was chosen as it would support the early days of the new organisation by providing cost effective browser based functionality to staff, who at that time were operating on three separate systems. The core functionality at that time was email, intranet and document management.

In selecting Office 365 NRW knew that it wouldn’t meet all of their business needs and that additional tools would be required. One requirement was to support the management of email content as part of formal records management. User adoption of any new system was a critical factor. Staff were facing significant changes and it was important that any new tools could be deployed with minimum impact.

Over a four month period, NRW completed a comprehensive review of products available under the G-Cloud programme that could potentially allow this requirement to be met with Office 365. This resulted in the selection of Repstor affinity and its rapid roll out to all users of the NRW Office 365 system.

The NRW G-Cloud procurement included comprehensive presentations and demonstrations of the products alongside subsequent evaluation of the software on the Natural Resources Wales Office 365 system.  Repstor affinity was chosen because when the extensive evaluation was completed the product was seen to provide the best value for money including providing everything that was needed to meet all of the functional and non-functional requirements in the most effective manner. Critical to this was the depth of integration with Outlook for ease of use, adoption and configurability of the product to meet the very specific requirements without any customisation.

“Repstor affinity is a key part of our Office 365 deployment. Its quick deployment and ease of use has meant that users have adopted the system without the need for any special training enabling us to seamlessly bring users on board, focusing on ensuring that our policies are effectively implemented,” Debra Jones, Project Manager, Natural Resources Wales.

“The ease of use particularly around filing and retrieval of content has been an essential part of rolling out this project without the need for a large change management effort on our part around the use of the software,” adds Debra.

Leading ECM adoption specialist, Repstor, is pleased to announce it has once again secured its position as a supplier to the UK public sector by being awarded a place on the G-Cloud 7 agreement for the supply of Software as a Service (SaaS) and Specialist Cloud Services (SCS) by the Crown Commercial Service (CCS).

Repstor is delighted that it has been awarded a place on the latest Crown Commercial Service G-Cloud programme, G-Cloud 7. This means that all G-Cloud customers will continue to have access to Repstor Software as a Service and Specialist Cloud Services offerings via the G-Cloud online store, the Digital Marketplace. These offerings have been expanded to include more products from the Repstor product line including the Repstor affinity, assist, custodian and CRM Link products.

The G-Cloud 7 agreement supports the Government’s policy to centrally manage the procurement of common goods and services through an integrated commercial function at the heart of government. The agreement can be used by organisations across the UK public sector including central government, local government, health, education, devolved administrations, emergency services, defence and not-for-profit organisations.

Repstor helps government organisations successfully deploy ECM (Enterprise Content Management) systems by inspiring user adoption.   • Repstor CRM Link provides users with a secure and fast link to Microsoft Dynamics CRM and SharePoint (or other ECM Systems) from within Microsoft Outlook.

By providing intuitive access to Office 365 and other content systems from Microsoft Outlook, Repstor helps organisations manage their content easily and to successfully deploy ECM systems by providing the tools needed to ensure their users adopt these systems.

The UK Government G-Cloud Programme is an initiative targeted at easing procurement by public-sector bodies in departments of the United Kingdom Government of commodity information technology services that use cloud computing. The G-Cloud consists of:

  • A series of framework agreements with suppliers, from which public sector organisations can buy services without needing to run a full tender or competition procurement process
  • An online store – the “Digital Marketplace” (previously “CloudStore”) that allows public sector bodies to search for services that are covered by the G-Cloud frameworks
